Scope of personal data collected
The personal data we collect and process primarily includes the data you provide when booking, registering or contacting us. This includes in particular the following:
- Passenger/orderer identification data: full name (passenger and/or name of the person making the reservation).
- Contact details: email address, telephone number.
- Travel data: information about your trip, such as departure/arrival location (airport or train station), flight number, date and time of travel, number of passengers, amount of luggage, number of child seats requested, etc. We collect this data as part of your booking.
- Billing and company data: if you use the service on behalf of a company or request an invoice, we collect your billing name (company name), address, tax number and other information necessary for billing.
- User account data: the Website offers the possibility to register and create a customer account. During registration, we collect the necessary data (e.g. login name/email and password), and you can also provide additional data in the account (e.g. preferences, data from previous orders). Important: The services of our Website and registration can only be used by persons over the age of 18 ; we do not knowingly collect or process the data of minors.
- Communication data: if you contact us (e.g. customer service question, email, phone), we process the personal data provided or generated within this framework (e.g. email address, content of the inquiry).

Note: We do not collect any credit card or payment details directly. For online payments, the payment process is handled by a secure third-party service provider, Saferpay ( Six Payment Services ) handles your payment in their own system, so your card details are sent directly to them. Our company only receives feedback on the success or status of your payment, but does not have access to your card details. Purposes and legal bases of data processing
We process your personal data only for specific purposes and with appropriate legal grounds. The purposes and legal grounds for data processing are as follows:
- Booking and contract performance: Our primary purpose is to organize and perform the passenger transport service you have requested. To this end, we use your name, contact details and travel details to confirm your booking, arrange your transfer, agree on a meeting point, etc. The legal basis for data processing in this case is the performance of the contract (GDPR Article 6(1)(b)) – by making a booking, a contract is concluded between you and ETcar ( EasyTransport ), and the processing of your data is necessary for its performance .
- Invoicing and compliance with legal obligations: We issue an invoice for the service you have used, for which we may require certain personal data (name, address, possibly tax number). The processing of this data is mandatory for compliance with accounting and tax legislation (GDPR Article 6 (1) point c) - compliance with a legal obligation ). According to the relevant Belgian legislation, for example, we must retain the invoices issued and the related data for a certain period of time (up to 7-10 years) info.hub .brussels .
- Customer service and communication: If you have a question or request, or if you would like to modify your booking, our customer service will process the data in this regard. Data transfer and sharing of data with third parties
generally do not sell or disclose your personal data to third parties. However, in some cases, during data processing, it is essential to transfer or share certain data with our trusted partners or external service providers. We always transfer only the necessary amount of data and in all cases we ensure that our partners have adequate data protection guarantees. Below is a list of which third parties may have access to your data and for what purpose:
- Payment service provider ( Saferpay – Six Payment Services ): As mentioned above, online payments are processed by an external payment service provider. When paying for your reservation, you will be redirected to Saferpay's secure payment page, so your bank card details are handled directly by the payment service provider. Saferpay only transmits the transaction result (successful or unsuccessful payment, transaction ID, etc.) to ETcar / EasyTransport . Accordingly, the personal data required for payment (e.g. card number, expiration date, CVC code, cardholder name) is handled by Saferpay as an authorized data processor or as an independent data controller, based on its own data protection policy. Saferpay has a contractual relationship with our company; it ensures compliance with the GDPR and PCI DSS (Bank Card Industry Security Standards) to protect payment data.
- Transport partners, subcontractors: To provide the travel service, we cooperate with local transfer partners or drivers who actually carry out the passenger transport . We only provide them with the information that is essential to perform the given transfer: such as the passenger's name or address, the pick-up (pick-up) address or meeting point, the time of the trip, flight information, the number of passengers, the amount of luggage, and the requested child seat . This data is necessary for our partner to identify you at the time of pick-up and to be able to provide the service. We do not transfer other personal data (such as e-mail address, telephone number, billing information) to the partners, and we treat them confidentially . The driver or transport company will typically wait for you at the specified location (e.g. airport arrivals hall) with a sign with the passenger's name, and if necessary, our dispatch service will contact you. We conclude a data processing agreement with our subcontractors or they undertake a contractual obligation to treat the data confidentially and guarantee that the transferred data will be used exclusively for the purpose of completing the transfer.
- Web analytics and technology partners (Google Analytics ): As already mentioned, we use Google Analytics to analyze the traffic and use of the Website. This service is operated by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland) and Google LLC (USA). Certain technical data becomes available to Google through cookies (e.g. IP address in anonymized form, browser data, actions performed on the Website) . Google processes this information on our behalf for statistical purposes, but it should be noted that Google, as a global service provider, may also transfer data to servers outside the European Economic Area (EEA) (e.g. the USA). - Marketing and social media partners (Google, Meta ): In order to effectively advertise our services, we use marketing partners. These include Google Ads / DoubleClick (Google Ireland Ltd.) and Meta. Platforms (Facebook, Instagram - Meta Platforms Ireland Ltd.). If you have consented to marketing cookies, both Google and Meta will receive certain information about your visit to our Website and the actions you have taken. - Other recipients by law: It may happen that certain authorities or official bodies contact our company based on legal authority and request data (for example, police, tax authorities, transport authorities, etc.). In such a case - if the request is lawful and binding - we may transfer certain data to the authorities based on the applicable legal obligation . We always ensure that the request is lawful and that we only transfer the necessary data. For example, if we are required to provide the passenger list of a transfer on a given day or the data of a specific customer as part of an official investigation, we will comply with the request in compliance with our legal obligation.
Data transfer outside the European Union: We primarily store and process personal data within the EU/EEA. However, as mentioned above, for some third parties (e.g. Google, Meta ), data may be transferred to countries outside the European Union (e.g. the United States of America) as these global companies have servers located there. In these cases, we ensure that the data transfer complies with the requirements of Chapter V of the GDPR. Both Google and Meta use standard contractual clauses (SCCs). Clauses ) or other appropriate safeguards, and in principle they also participate in the EU-US Privacy Shield Framework, which ensures the protection of European users' data in the US. Note: We always have a contractual relationship with our partners, which also includes data protection clauses. Our data processors (those who process data on our behalf, e.g. payment service providers) undertake to comply with the GDPR requirements in a written agreement. In the case of third-party data controllers (e.g. Google, Meta ), your consent is the basis for the data transfer, and the data processing terms of these parties govern further processing.
Data retention period
We will only retain your personal data for as long as necessary , in accordance with applicable legal requirements. The retention periods for different types of data are determined as follows:
- User account data: If you register on the Website, we will process the personal data associated with your account for as long as your account is active. We provide you with the opportunity to view, modify or delete the personal data in your account at any time . You can view and edit the information stored about you under the "My Account" menu item . If you decide to delete your account, we will delete or anonymize all personal data that identifies you as soon as possible . (Even after deleting your account, we may retain certain anonymous statistical data - e.g. how many trips you have made, how much luggage - and billing/ invoicing information that cannot be linked to your person or that we are required to retain for legal reasons .)
- Reservations and travel data: We store personal data related to reservations (passenger name, travel data, contact details) primarily for the purpose of providing the service and for a short period thereafter. After the trip has taken place, we retain this data in our active database for a maximum of the limitation period for any complaints or legal claims. This can typically be a period of a few months to a few years. For example, we may retain this data for 1 year after the trip has taken place in case you subsequently make a complaint or have questions about the service.
- Billing and financial data: Personal data (name, address, etc.) contained in accounting documents (invoices) must be retained for a longer period of time, usually 7-10 years, according to the applicable financial/legal regulationsinfo.hub.brussels siriuslegaladvocaten.be . In Belgium, for example, the retention period for financial documents is typically 10 years after the year in questioninfo.hub.brussels . After this period, the invoices and the data contained therein are deleted or, if archived, anonymized .
- Newsletter-related data: We process your email address and name, which we use to send you newsletters, until you unsubscribe from the newsletter or withdraw your consent. If you unsubscribe, we will immediately delete your data from our mailing list and you will no longer receive marketing messages from us (unless you later re-subscribe).
- Analytics data: We retain anonymous usage data collected by Google Analytics for the period specified by Google (generally 14 months for user and event data in Analytics , unless you have set a shorter interval). This data is not personally identifiable and is treated as aggregate statistics.
- Data retained for other legal obligations: Certain data may be required by Belgian passenger transport legislation to be retained for a specific period of time. For example, transport records and passenger lists may be stored securely, even offline (printed) until the end of the statutory limitation period . This data will be securely destroyed after the required retention period (e.g. by expert document destruction of printed documents) .
- Server logs: Technical data automatically recorded by the web server (e.g. IP address, access time, HTTP requests) is usually stored in log files for a few weeks. This short-term retention is for security and troubleshooting purposes (e.g. to investigate a possible attack). After this period, the log data is automatically deleted.
After the retention periods have expired, the personal data will be deleted or anonymized . Anonymization means removing or changing the identifiable elements from the data so that it can no longer be linked to a specific person. The anonymized data may then be used for statistical or other analytical purposes, but it is no longer considered personal data.
Your rights
Under the European Union's General Data Protection Regulation (GDPR), you, as a data subject, have the following rights regarding the processing of your personal data:
- Right of access: You have the right to request information from us about whether we process your personal data and, if so, what data it is, what is the purpose of the data processing, to whom we have forwarded it (if we have forwarded it), how long we keep it, etc. In addition, you have the right to request a copy of the personal data we store. Therefore, upon your request, we will provide confirmation of whether we process data about you and provide access to the data .
- Right to rectification: If you find that any of the data we hold about you is inaccurate or incomplete, you may request that it be corrected or supplemented . It is of utmost importance to us that the data we process is up-to-date and accurate, so if, for example, your email address or other data changes, please let us know or change it in your account.

- Right to object: You may object to the processing of your personal data if the legal basis for the processing is our legitimate interest (or public interest). Data security
Our company pays special attention to the security of personal data. We have implemented appropriate technical and organizational measures to protect the data we process from unauthorized access, alteration, disclosure or destruction.
Technical protection: We store your data on secure, closed servers located in a professional server park and which are exclusively used by our company .
